Assistant Athletic Director for Media and Communications

Department of Athletics – Athletic Communications - January 2018

I.    Basic Function

Under the direct supervision of the Associate Vice President and Director of Athletics, the Assistant Director of Athletics for Media and Communications is responsible for the supervision of all Athletic Communications personnel, maintaining statistical records, marketing, and public relations for the Department of Athletics. The Assistant Director for Media and Communications will serve on the Athletic Leadership Team as a key advisor to the Associate VP and Director of Athletics. This individual is primarily responsible for enhancing the image of the university’s athletic department, while following the policies and regulations set by the Board of Trustees and university administration. Additionally, the Assistant Athletic Director of Media and Communications will advise, develop and manage strategies to promote student-athletes and athletic teams’ accomplishments using social and local media outlets.

II.    Responsibilities and Authority

Within the limits imposed by the university and the NAIA, the Assistant Director of Athletics for Media and Communications is responsible for and has commensurate authority to accomplish the duties as follows:

Directly accountable to the Associate Vice President and Director of Athletics. Be an integral part in the overall marketing and branding efforts of Missouri Baptist University (MBU) Spartan Athletics Program. Responsible for the creation and functionality of a strategic athletic communications program to enhance the athletic experience of the student-athlete, as well as the promotion of MBU including;

A.    Strategic Communications
Work with the Associate Vice President and Director of Athletics, the Director of Spirit Programs and Community Relations, Head Coaches, Conference Commissioner and  representatives of conference institutions to develop and update at regular intervals a strategic communications plan for the purpose of elevating the visibility of both the institution and the conference. Such a plan should include:
  • Identification of constituencies served by the university and conference
  • Specification of the message(s) to be delivered to those constituencies which reflect the missions, values and culture of the institution and conference member institutions
  • Development and implementation of communication vehicles including:
    • Press Releases
    • Web site
    • Social Media (e.g. Facebook, Twitter, YouTube)
    • Mobile device applications
    • Text messaging
    • New Media
    • Video and web-streaming
    • Other technologies such as; promotional brochures, media guides, and schedules for distribution as assigned by the Associate Vice President and Director of Athletics
B.    Statistics
  • Coordinate with athletic department and university communications to ensure timely, accurate reporting of rosters and photos, contest statistics, scores and results
  • Collect weekly statistics, records and pertinent information and compile in accordance with NAIA guidelines and requirements
  • Distribute to Conference institutions and to the NAIA national office statistical information required by the NAIA or conference
  • Compile and maintain ‘all-time’ stats for the institution
  • Organize all live statistical functions for NAIA sports that require statistics be kept through the Dakstats Software System
    • Responsible to run and record (or assign someone to run and record) live statistics at these home events
C.    Awards
  • Provide a means for the selection and announcement of Player(s) of the Week for all sports
  • Coordinate with the Associate President and Director of Athletics, as well as all coaches to insure timely selection, notification, and announcement of All-Conference and National Awards. Note: MBU will have a nominee for every award opportunity in both the conference, as well as the NAIA
  • Coordinate publicity for other student-athlete honors and awards, e.g., Champions of Character Awards
D.    Media Relations
  • Develop and maintain positive relationships with local and regional media as identified by the institution through the athletic director and university communications director
  • Issue press releases concerning institution athletic activity including, but not limited to, results of athletic contests, conference standings and statistics, institution and conference players of the week, all-conference awards, conference tournaments
  • Create articles on human-interest pieces that go beyond the playing arena. Focus on the “Champions of Character” angle, philanthropic activities, community service, etc.
  • Promotional brochures, media guides, and schedules for distribution as assigned by the Associate Vice President and Director of Athletics
  • Acts as a liaison between news media, Associate Vice President and Director of Athletics, and coaches in obtaining and dispersing information
  • Supervises the accommodations of the press and radio play-by-play personnel at home events
  • Arranges team and individual photographs including action shots for publicity purposes. Maintains a photo file
  • Assists in general promotion and marketing of the Spartan Department of Athletics through special pro¬jects, events, and assignments as requested by the Associate Vice President and Director of Athletics
  • Writes and distributes the “hometown” press releases on student-athletes that are newsworthy           
E.    Maintain all aspects of the MBUSpartans.com website
  • Insure that statistics/records/scores are kept up to date
  • Institution recognition and Conference Awards are posted in a timely manner
  • Postseason brackets are posted
  • Create and maintain all-time records and statistical webpages
F.    Postseason
  • Coordinate the production of any post-season tournament programs
  • Coordinate   coverage for all Institutional and Conference Championships
  • Direct a press conference/media opportunities during significant events
  • Travel with the teams on an as-needed basis during conference and/or National Championship Tournaments to provide live coverage with respect to news releases, photography, blogs, etc.
    • As-needed is defined on a per case basis by the Assistant Associate Vice President and Director of Athletics of Media and Communications and the Associate Vice President and Director of Athletics
G.    Design Development
  • Coordinate design development for any printed piece from the Missouri Baptist Department of Athletics
  • Lead the design effort for all website, game-day publications, media guides and printed promotional piece designed for use for the Missouri Baptist Department of Athletics
  • Work in tandem with the Director of Spirit Programs and Community Relations regarding all game day operations
  • Be responsible for obtaining athletic sponsorships to fund communication equipment and other athletic department needs
  • Approves all professionally printed pieces, apparel and uniform designs for each team prior to its submission to the Associate Vice President and Director of Athletics for final approval
  • Responsible for maintaining the Missouri Baptist Spartans brand standards as outlined by University Communications and the Missouri Baptist University Department of Athletics

H.    Other duties as assigned by the Associate Vice President and Director of Athletics


III.    Relationships

The Assistant Athletic Director of Media and Communications will observe the following relationships:

The Associate Vice President and Director of Athletics
The Assistant Athletic Director of Media and Communications is directly accountable to the Associate Vice President and Director of Athletics of the university for the proper interpretation and fulfillment of his/her function, his/her specific and general responsi¬bilities and related authority, and his/her responsibilities.

The Director of University Communications
The Assistant Athletic Director of Media and Communications will collaborate with the Office of University Communications to ensure optimal media placement and to develop and execute a comprehensive media relations plan.

Other University Administrators
The Assistant Athletic Director of Media and Communications serves with the Associate Vice President and Director of Athletics in the Athletic Department. The candidate will maintain good cooperation with all areas of the university, particularly the Director of Spirit Programs and Community Relations, maintaining those relationships necessary for the accomplishment of his/her function.
