Assistant Athletics Director, Athletics Communications

Context of the Job:
The Assistant Athletics Director, Athletics Communications is a team leader that reports to the Associate AD. The Assistant AD provides direct supervision for unpaid student interns. Contacts are both inside the unit (with coaches, participants, administrators) and outside the unit (with other institutional staff members, digital and print news media and the general public). Travel with teams is involved (nights and weekends involved during academic year).

The Assistant AD will participate in supporting department wide initiatives such as game day staffing, special events and department announcements across 21 teams while being directly responsible for all communications initiatives for football, men’s lacrosse, track & field and cross country.  

The Assistant Director is responsible for all communications initiatives for  assigned sports and will assist with at large department announcements and initiatives among a wide variety of external media and stakeholders. This individual has a range of responsibilities, which include: team management, customer service, writing, editing, graphic design, social media, webpage management, archiving, proactive media pitching and the facilitation of interview requests. The Assistant AD will also be directly responsible for advising and executing the department's awards and honors in collaboration with the larger team as well as supporting other department wide announcements and crisis/issues management.

The Assistant AD is part of advancing the team through execution of goal development, collaboration and adherence to protocol as well as exemplary service and attention to detail in order to ensure that the office is proactively servicing all audiences. The Assistant AD will serve as a forward-thinking expert in the field that actively keeps abreast of trends and tools and helps educate the broader media relations team to identify and seize opportunities that arise.

Major Responsibilities:
50% Sport Information, Content Generation and Media Relations
  • Facilitate and own all sport-related coverage for assigned sport teams, including creative, digital, social, written, and other emerging content mediums.
  • Maintain assigned sport webpages including all maintenance, content and updates.
  • Use social media and other digital tools to communicate game updates and other program information in real time. Collaborate with Associate AD, coaches and social director to plan for, generate and maintain content for all digital platforms for assigned sports.
  • Support the development of graphics for assigned sports through the use of templates, Photoshop and other digital platforms.
  • In collaboration with the video team, use of mobile video and basic editing to produce brief features, interviews and recaps of assigned sports.
  • Coordinate with the Associate AD to schedule regular meetings with coaches to plan and prepare for seasons, gather content and story mine. Build deep relationships with sport teams.
  • Coordinate with coaches on the distribution and collection of information forms from all active student-athletes. 
  • Maintain all appropriate statistical and roster requirements as required by University's membership in NCAA, CAA, etc. and maintain and control access to records on athletics and coaches for institutional and media relations needs.
  • Facilitate program interview and media requests with local, regional, national and niche media and social media influencers. Be present and accountable for interviews. 
  • Nominate, facilitate and promote student-athletes and coaches for weekly awards and postseason awards. Proactively collaborate across the external relations to help share the news to various audiences.
  • Regularly input and update basic event and schedule information on digital platforms including dates, times, opponents, media, ticket and promotional information. Input results for national rankings and postseason selections.
  • Write and edit various department communication materials, record books, student-athlete bios, postseason publications, press releases, feature stories, game notes and daily sport specific content for the department's website.
  • Write and collaborate with external relations team on printed materials including information guides and programs for sports and special events.
  • Develop and provide shot lists to event photographers and video teams.
  • Arrange credentials for media
  • Direct gameday coverage for assigned sports and assist as needed in game and special event coverage for additional sports. Schedule, train, supervise and coordinate game day communications and direct the accurate and timely delivery of statistical information.
  • Directly responsible for maintenance of current and historical team information (news, rosters, statistics, records, photos, videos) in assigned sports including proper naming and meta data assignments at the end of each competitive season
  • Facilitate content requests to and from the CAA and our media affiliates.
  • Serve as point person for all assigned sport news updates; proactively monitor daily and provide critical updates to the Associate AD and coaching staff as needed.

25% Cross-Collaboration with External Relations and Strategic Comms
  • Initiate and positively influence the perceptions and narratives about the University of Delaware Athletics Department.
  • Create and maintain positive working relationships with local, regional and national media covering Delaware Athletics through interpersonal communications, email, mobile and use of program and personal social media platforms. Leverage personal social accounts to engage with individuals.
  • Proactively ideate, communicate and solicit national and trade media coverage for events and feature stories on Delaware athletes, teams, and other milestones/ accomplishments.
  • Support the Associate AD in the promotion of events, ticketing and development-related initiatives of the Athletic Department at large.
  • Work with Associate AD and Senior Associate AD to support Athletic AD communications, written materials, quotes and media relations.
  • Support the team as needed in executing a daily media monitoring report
  • Collaborate with the Associate AD to inform and educate athletes, coaches, administrators, other athletic department constituencies and University constituents on effective methods of media interaction, and personal and program use of social networking platforms.
  • Foster a culture that thrives on gathering and interpreting data analytics to help make informed decisions. Use data and searchable analytics to strategically think about content, platforms, audiences, time and user experience and constantly optimize our content.
  • Collaborate with communications team to help create and execute a holistic, 365-day coverage plan and editorial calendar for assigned and secondary sports, and initiatives.
  • Collaborate with others to lead proactive relationships in the University, athletic department, CAA and NCAA.

25% Team Management
  • Learn and adopt new technology, tools, platforms, programs that Delaware will use to communicate and engage with audiences how, where and when they need to consume information. Use knowledge to serve as an institutional expert and to train internal audiences and peers on best practices.
  • Finds ways to automate and optimize our processes based on industry best practices, as well as emerging tools and opportunities.
  • Effectively manages personnel, including addressing any challenges that arise.
  • Work alongside the Social and Digital Director to consistently update and maintain a holistic, forward-thinking content calendar for the communications team
  • Collaborate with the Associate AD to develop an annual budget and to regularly submit expenses, monitor and update on behalf of media relations to ensure the team stays within fiscal projections
  • Be an active participant in fostering learning and development by delegating to staff and student interns. Work with assistants and student interns on skill development and providing opportunities for career advancement and apprenticeship. Delegate and empower staff.
  • Supervise game day staffing for assigned sports; primary point for game day staffing across all sports – collaborate with Assistant Directors to ensure their sport duties are covered

  • Bachelor’s degree in sports management, communications, journalism or other related field and four years relevant work experience in major professional or collegiate athletic communications, or equivalent combination of education and experience.
  • Experience leading staff as a direct supervisor, including taking responsibility for team performance and budget
  • Outstanding organizational, communication, writing and interpersonal skills in a fast-paced environment.
  • In-depth knowledge of the digital and social landscapes and ability to generate successful social content; must be active in social media.
  • Experience working with graphic design technologies (Illustrator, InDesign, Photoshop).
  • Experience working with web technologies, including basic HTML and CMS tools.
  • Advanced and demonstrated knowledge of in-game statistical programs (Stat Crew).
  • Ability to manage multiple projects simultaneously along difficult timelines.
  • Proven ability to learn quickly, work efficiently in a fast paced environment and to skillfully distill/synthesize emerging information to senior level staff.

  • Graphic design and/or multimedia storytelling and editing experience (Premier, Photoshop, and mobile solutions) preferred.
  • Passion for intercollegiate athletics and an intuitive sense of trends in marketplace preferred.
